An opportunity exists within Planes Moving & Storage, Inc. for a Marketing and Sales Specialist in the Cincinnati, Ohio office.  This is an Hourly Non-Exempt position reporting to the Senior Vice President of Strategy and Marketing.  Salary will be commensurate with experience.

General Position Summary

The Marketing & Sales Specialist is responsible for providing effective sales support and administrative assistance to the sales organization in a fast-paced, cross-functional team environment. Many responsibilities will be aligned with customer projects being managed by members of the sales organization, while others will be solely performed by the Specialist. He/she must have the ability to continuously prioritize various day to day job duties, under tight deadline and last minute requests, while having the ability to make accurate decisions.

Essential Functions/Major Responsibilities

  • Assist sales organization with all sales prospecting, customer requests, reports and ad hoc presentation requests. Specific tasks include:
    • Manage all vendor registration forms for the sales organization.
    • Assist with PowerPoint presentation, excel spreadsheet formatting and other excel custom requests for sales presentations. Assist sales organization with all Microsoft user questions.
    • Assist with the preparation of customer reports and dashboards. (Weekly, quarterly, semi-annual, and annual sales.)
    • Assist with the preparation of quarterly account/business reviews.
    • Assist with all printing, copying, binding & assembly requests of the organization – this includes sales and general requests.
    • Coordinate conference calls and live meeting requests for the organization.
    • Ensure that sales representative’s material/collateral requests are fulfilled correctly.
    • Organize information for client special events (i.e. Memorial Golf tournament: Update event information, collect participant lists, communicate with Experience Columbus, calculate costs, and create chargeback reports.)
    • Organize information for client Christmas mail out: Update mailing lists, calculate costs, and create chargeback reports. Coordinate selection and distribution of client Christmas gifts as well as special occasion gifts.
  • Assist with the review, development and completion of Requests for Proposal (RFP)/Bid (Pricing) Packages according to client specifications for all service lines; all offices in conjunction with sales staff.
    • Maintain RFP response library for all business verticals.
    • Manage reference lists.
    • Maintain current resumes and team member photographs.
  • Manage all Household Goods National Account customer reporting. (Monthly, quarterly, semi-annual, and annual sales.)
  • Support sales organization with a wide variety of administrative functions. Tasks include:
    • Assist with coordination of all sales meetings and special events such as: annual sales meeting, quarterly sales meetings, monthly sales trainings, client functions, recognition events, and trade shows. This could include: creating presentation materials, meeting agendas, ordering food, ordering giveaways, ordering apparel and running presentations during meetings.
    • Manage the sales production helpdesk / email box; fulfill all requests in a timely manner.
    • Manage business card ordering & fulfillment requests from the organization.
    • Update lobby welcome sign during all client & V.I.P. visits.
    • Order, receive and maintain inventory of sales collateral & departmental supplies.
    • Assist in maintaining and updating sales resources. (Intranet & print materials)
    • Process daily mail, small to large mailings and all FedEx shipments.
    • Assist with expense & travel processing.
    • Maintain business vertical intranet files and storage areas.
  • Assist in the development and execution of Planes events – both internal appreciation events and external customer & community events.
  • Assist in the design and creation of sales collateral/materials, internal communications and external communications and social posts.
  • Develop and continually improve understanding of the company, its service lines, and corporate philosophy as it relates to development of printed materials and content used in materials.
  • Develop and maintain a positive and productive working relationship with management, co-workers, team members, contractors and customers with the Company’s best interests as a top priority.
  • Communicate with personnel of all levels in all offices. Project a positive image of the corporation while offering a “can do” attitude toward meeting Planes Companies’ sales support needs.
  • Must demonstrate Planes’ core principles of T.E.A.M. (Trust, Empowerment, Accountability, & Mesh) in daily work routines.
  • Promptly communicate any potential problems, incidences or occurrences effecting the daily operations and management of the department to your immediate supervisor.

Specific Job Skills

  • Must be highly proficient with Microsoft Office (PowerPoint, Word, Excel and Outlook is mandatory, Publisher is highly recommended.)
  • Experience with Adobe Photoshop & Illustrator is highly recommended.
  • Experience with Microsoft Dynamics 365 (CRM) is a plus.
  • Experience with Bright Sign is a plus.
  • Experience with Concur is a plus.
  • Experience with MailChimp is a plus.
  • Experience with social media platforms (especially LinkedIn, LinkedIn Navigator and Facebook) is highly recommended.
  • Must possess excellent written and verbal communication skills, including editing skills, as well as being a good listener.
  • Requires excellent organizational skills to efficiently perform daily work activities.
  • Requires the ability to adapt to changing work priorities, to perform well under pressure, and with attention to detail in a fast-paced work environment often on projects that provide short notice.
  • Ability to interpret and comprehend detailed written materials and reports.
  • Ability to communicate and interact well with personnel at all levels and project a professional image in person and on the telephone with clients.
  • Ability to work independently and complete assignments with minimal supervision.
  • Ability to efficiently handle multiple tasks and responsibilities simultaneously and appropriately prioritize duties.
  • Must possess good problem-solving skills and make sound business decisions.
  • Must be customer service driven with the ability to meet customer needs in a timely fashion.

Education and/or Experience

  • High school diploma required.
  • Associates degree in design or marketing recommended.
  • Minimum of 2-3 years of work experience in marketing & sales support or like administration related position required.

Job Conditions

  • Demanding, fast-paced work environment requiring multi-tasking on a regular basis.
  • Full time position (40 hrs/week) with work hours generally Monday through Friday with flexibility in work schedule for start and finish times as determined by supervisor as well as occasional overtime as necessary including nights and/or weekends to accommodate project deadlines.
  • Must have and maintain a valid driver’s license.
  • Inside average office environment with average noise levels.
  • Low physical effort-average lift less than 10lbs. and maximum unassisted lift up to 35lbs.
  • Must be able to sit for extended periods of time at workstation.
